Optera is growing faster than ever and we are rapidly expanding our market leading product and services. We are looking for an experienced Executive Assistant to help our Executive Team be as efficient and effective as possible and to support continued organizational growth.

The Role and Responsibilities

  • Establish and improve processes and systems to support the Executive Team in areas following (scheduling, travel, projects, etc.), in order to help the Executive Team be as efficient and effective as possible.
  • Scheduling:
    • Manage CEO and CRO’s schedules to ensure meeting setup, with internal and external parties, is smooth and time can be focused on highest priorities.
    • Manage company calendar in regards to key internal events. ex: TeamWeek; Department Leads planning sessions, etc.
  • Travel Coordination:
    • Arrange all details of CEO and CRO’s travel, structuring their time in given locations for travel priorities (e.g. meeting times/locations; number of meetings) and ensuring a smooth travel experience.
    • Support travel of special guests visiting Optera (ex: investors).
    • Collaborate with other Operations team members to document travel resources for the full team to utilize in self-service travel planning (e.g. team week planning).
  • Special Projects & Events
    • Lead projects, as defined by the executive team and EA II, which will build capacity for the CEO and CRO.
    • Lead or participate in projects, as defined by the EA II and Executive Team, that help or build capacity for the full company.
    • Manage logistics for key company events ex: Team Week, Board Meetings, etc.
  • Email Management:
    • Assist the CEO and CRO with inbox management as requested.
  • Office Management:
    • Act as the primary point of contact for all office related vendors. ex: landlord, IT support, etc.
    • Lead maintenance of office operations policies in line with ISO/SOC certifications.
    • Source and stock office equipment, supplies, and refreshments.

  • Strong commitment to honesty, discretion, and confidentiality
  • Comfort with ambiguity and a willingness to adjust role as company needs evolve
  • An ability to “manage up” and communicate effectively with C level management both internally and externally
  • A people person who enjoys developing relationships

Your experience/qualifications

  • Prior experience as an executive assistant working with multiple executives
  • Demonstrated ability to communicate verbally and by writing in a professional and respectful manner with customers, vendors, and staff
  • Highly capable of managing multiple independent priorities
  • Skilled at project management and process improvement
  • Experience working at a venture-backed growing startup

Position: Full time

Base Salary: $71,000-$83,000 plus bonus
