Human Resources Coordinator
Vecna Robotics seeks a detail-oriented and service-focused Human Resources Coordinator to provide administrative and operational support across employee programs, engagement activities, recruiting, and HR data management. This role is responsible for executing established HR processes, maintaining accurate records, and helping deliver initiatives that enhance the employee experience.
The ideal candidate is a self-starter, detail-oriented and data-savvy, highly organized in managing multiple priorities, and personable with a service-oriented communication style that builds trust with call stakeholders.
The Human Resources Coordinator is in-office Monday through Thursday and remote on Fridays. However, they will be fully in office during onboarding.
Reporting to the VP of Human Resources, this is a full-time, salaried role based in Waltham, MA. Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time. In this role, the HR Coordinator will:
Talent Acquisition Support:
  • Coordinate all stages of the recruitment process, including scheduling interviews, tracking candidates, and maintaining accurate status updates in the applicant tracking system.
  • Serve as the primary point of contact for candidates, ensuring timely and professional communication.
  • Assist with job postings, resume screening, and interview logistics.
HR Data & Systems Management
  • Maintain accurate and up-to-date employee records in the HRIS.
  • Generate standard HR reports (e.g., headcount, turnover, engagement participation) for internal use.
  • Assist in tracking and monitoring HR metrics, flagging inconsistencies or gaps for review.
  • Support data audits to ensure compliance with company policies and applicable regulations.
Program & Process Coordination
  • Process employee changes in the HRIS, including onboarding, offboarding, and benefits enrollments or updates.
  • Serve as the first point of contact for routine benefits questions, escalating complex matters to HR leadership or benefits vendors.
  • Coordinate open enrollment logistics such as scheduling vendor presentations and distributing materials.
  • Ensure timely and accurate filing of benefits and HR-related documentation.
Employee Engagement & Recognition
  • Assist in planning, organizing, and executing employee engagement activities.
  • Support employee recognition programs, ensuring awards and acknowledgments are processed on schedule.
  • Help manage employee surveys, track participation, and compile feedback summaries.
Administrative & Compliance Support
  • Schedule HR-related meetings, trainings, and company-wide events.
  • Distribute compliance notices and maintain policy acknowledgment records.
  • Assist in preparing materials and logistics for HR-led trainings or orientations.
What we are looking for:
  • Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent experience.
  • 1–3 years of HR, data management, or administrative experience.
  • Strong attention to detail, with the ability to work with confidential information.
  • Proficiency in HRIS systems and Microsoft Excel/Google Sheets for reporting.
  • Excellent interpersonal and organizational skills; customer-service mindset.
  • A strong work ethic and can-do attitude—you’re proactive, eager to learn, and take initiative
  • Excellent verbal and written communication skills
  • High attention to detail and the ability to maintain strict confidentiality
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Comfortable drafting documents and working with spreadsheets
  • Strong organizational and problem-solving skills
